Property Administrator/Assistant Property Manager

Our client, an international Client Service Center based in Century City, is looking for Property Administrators/Assistant Property Managers to join their team.

The successful candidates will be given full training and support to ensure they succeed in these important roles.

Candidates must have:

- Good telephone communications skills
- Be able to work as part of a team in a busy office
- Be organised and efficient in their work

Key Responsibilities

- Answering all calls within Service level guidelines- Execution/delivery of actions and completing tasks to agreed deadlines

- Responding to all correspondence within agreed service levels

- Logging all maintenance issues and subsequent updates on dedicated property management software.

- Ensuring data integrity on the system.

- Resolving all reported issues within agreed service levels

- Resolving basic accounts queries.

- Diary management and the co-coordinating of appointments between the Partner/Property Relationship Manager and 3rd parties

- Constant feedback and communication to all persons (internal and external) regarding issues reported

- Building relationships and establishing rapport with Clients i.e. Freeholders / Directors/Lessees etc.

- Building effective relationships with Suppliers/Contractors, and ensuring that they work to our required Service level Agreements

- Negotiating discounts on quotes received

- Instructing works and managing contractors through to completion via tendering, purchase instructions, constant follow-up, direction,

- General administration i.e. electronic filing scanned documents; creating letters; notices and mail merges.

- Inputting new clients onto the system and chasing handover information; applicable notes etc.

- Weekly/Monthly reporting to Freeholders/Directors

- Candidates will be required to pass the Institute of Residential Property Managers (IRPM) Foundation exam within one year of joining. Training and assistance will be provided.

Minimum Requirements

- Matric is essential

- 2 years relevant Property Management experience is essential

- Candidates must reside within Cape Town

- Candidates must have own transport

- Candidates are required to have a very good telephone manner and a good command of the English Language. Both written and spoken.

- Be able to touch type

- Be able to operate in a busy office environment.

- Provide evidence of low absenteeism from previous employers

Working hours /Shifts

· March to October

14.30pm – 12:00am

· November to February

15.30pm – 1:00am

Fixed shifts will be as above following 4 month training period which will be alternating 10:00am to 19:30pm and 9:00am to 18.30 pm
